How to tender for government work:

Government, private and public companies advertise for suppliers to bid for work that they need performed on a daily basis.They advertise in newspapers, online media, their own websites etc. to get the most competitive price possible. We have put together a guide that will assist you to tender for work.

 

1. Search on www.simpletender.co.za for keywords like construction in a province that you would like to work in. Go through all tenders and pick ones that you would like to tender for.

2. Analyse tender advert to determine whether your company meets all the requirements as set out in the tender.

For e.g. if you are a level 1GB(General Building) company you cannot tender for level 3GB work.

Check the closing dates and site inspection dates and ensure they have not passed.

 

3. Obtain tender documents. Some tender documents require payment and collection of document whereas others are free or downloadable from the internet.

4. If there is a compulsory site briefing you will need to attend the briefing, sign the register and at times the client will stamp the tender document as proof that you have attended. If you have any questions about the tender be sure to raise the point at the inspection.

5. Ensure you have all returnable documents requested in the tender document:

Below is a list of documents that are generally requested:

-Company Documents(Cor14.3/CK1/CK2)

-Tax Clearance/Tax PIN

-BEE Certificate or Affidavit

-Central Supplier Database(CSD)

-Letter of Good standing (COIDA)

Returnable documents will vary according to industry but the tender document will have a comprehensive list of documents required.

6. Fill in tender documents. Ensure all declarations are signed and relevant documents certified. A tender can be rejected as a result of not certifying documents like IDs, certificates etc.

Ensure some conformity with documents. For e.g. if the client requests for CV’s of your staff.

Have a set template of the CVs for all staff.

Ensure the BOQ (Bill of Quantities) is filled in with your pricing and totals carried forward to the end.

Ensure signature pages are all signed and dated

7. If you are joint venturing, ensure you have a joint venture agreement which is available in the downloads section of the simpletender website

8. Put documents in an envelope with a label. Ensure there are no loose pages and everything is bound together. Submit documents before the closing date and time. Arrive at least 1 -2 hours early as the tender boxes do become busy closer to closing times.
